Set up automated reports and threshold-based alerts
This guide walks you through setting up scheduled reports and data alerts in MinusX.
Reports and Alerts are part of Proactive Analytics — features that push insights to you instead of waiting for you to check.
Setting up a report
Reports deliver dashboard or question snapshots on a recurring schedule.
Steps
- Open a dashboard or question you want to report on
- Click the Schedule Report action from the menu
- Configure the schedule — daily, weekly, or monthly
- Add recipients who should receive the report
- Save the report
The report runs on schedule, executes all queries with the latest data, and delivers the results to your recipients.
Tips
- Use dashboard-level parameters to control what data the report includes
- Name your report clearly — recipients see the title in their notification
- Start with a weekly cadence and adjust based on feedback
Setting up an alert
Alerts monitor a question's results and notify you when a condition is met.
Steps
- Open a question you want to monitor
- Click Create Alert from the menu
- Define the condition:
- Threshold — value exceeds or drops below a target
- Change — value changes by a certain amount or percentage
- Existence — query returns results (or stops returning results)
- Set the check frequency — how often MinusX evaluates the condition
- Add notification recipients
- Save the alert
Tips
- Keep alert SQL simple and fast — it runs on every check
- Use parameters to make alerts reusable (e.g.,
:thresholdas a configurable value) - Start with generous thresholds and tighten as you learn what's normal
Managing reports and alerts
- View all active reports and alerts from the sidebar
- Each report/alert shows its run history — when it last ran, whether it succeeded, and what the output was
- You can trigger a manual run to test before waiting for the schedule
- Edit the schedule, recipients, or conditions at any time
