Set up automated reports and threshold-based alerts

This guide walks you through setting up scheduled reports and data alerts in MinusX.

Reports and Alerts are part of Proactive Analytics — features that push insights to you instead of waiting for you to check.


Setting up a report

Reports deliver dashboard or question snapshots on a recurring schedule.

Steps

  1. Open a dashboard or question you want to report on
  2. Click the Schedule Report action from the menu
  3. Configure the schedule — daily, weekly, or monthly
  4. Add recipients who should receive the report
  5. Save the report

The report runs on schedule, executes all queries with the latest data, and delivers the results to your recipients.

Tips

  • Use dashboard-level parameters to control what data the report includes
  • Name your report clearly — recipients see the title in their notification
  • Start with a weekly cadence and adjust based on feedback

Setting up an alert

Alerts monitor a question's results and notify you when a condition is met.

Steps

  1. Open a question you want to monitor
  2. Click Create Alert from the menu
  3. Define the condition:
    • Threshold — value exceeds or drops below a target
    • Change — value changes by a certain amount or percentage
    • Existence — query returns results (or stops returning results)
  4. Set the check frequency — how often MinusX evaluates the condition
  5. Add notification recipients
  6. Save the alert

Tips

  • Keep alert SQL simple and fast — it runs on every check
  • Use parameters to make alerts reusable (e.g., :threshold as a configurable value)
  • Start with generous thresholds and tighten as you learn what's normal

Managing reports and alerts

  • View all active reports and alerts from the sidebar
  • Each report/alert shows its run history — when it last ran, whether it succeeded, and what the output was
  • You can trigger a manual run to test before waiting for the schedule
  • Edit the schedule, recipients, or conditions at any time
